POLICIES FOR OWNERS

We know that for many rental unit owners, you just aren’t getting out as much as you’d like. We’re happy to help get your four-wheeled friend out of the driveway so that you can earn a little extra income. In return, we ask that you abide by the following Policies for Owners. Please also be sure you have read and understand the Terms of Use of this website as they also apply. Our owner policy supersedes any and all Outdoorsy and Wheelbase agreements, contracts and policies.

INITIAL MECHANICAL ASSESSMENT

Before listing your rental unit, Oregon Adventure Rentals (Adventure Equipment Holdings, LLC) recommends that you get a mechanical assessment so that you can be assured your van is in good working order. For a thorough review, ask your mechanic for a “pre-purchase inspection.”

ON-GOING MAINTENANCE

The mechanical assessment you may opt to do before listing is simply a measure of mechanical soundness at a specific point in time. You should also plan on having your vehicle inspected and/or serviced every 90 days. You should routinely check the health of your auxiliary battery and change or top off fluids like oil, coolant, etc. on a regular basis. You should also actively monitor your tires for air pressure and wear. Check your brakes, your electrical systems and your propane tanks if relevant. How often? Before each rental is not too frequent; every 90 days is recommended!

LISTING

You provide Oregon Adventure Rentals (Adventure Equipment Holdings, LLC) with information such as your VIN, mileage, value, location, size, features, availability, pricing, reimbursement value and add-ons offered. Renters will be able to rely on the information in your listing when booking and using your camper van. You agree that the information you provide is truthful and accurate.

DOUBLE EXPOSURE

Oregon Adventure Rentals (Adventure Equipment Holdings, LLC) has partnered with one of the nation’s leading peer-to-peer car sharing sites, Outdoorsy, so that when you list with Oregon Adventure Rentals (Adventure Equipment Holdings, LLC), you are also listing with Outdoorsy. Outdoorsy serves as a great secondary marketing channel. You will have two listings – one on Oregon Adventure Rentals (Adventure Equipment Holdings, LLC) and one on Outdoorsy. Your reservation calendar will automatically synch on both sites and Oregon Adventure Rentals (Adventure Equipment Holdings, LLC) will manage both. If you are already listing a vehicle on Outdoorsy, just let us know and we’ll develop a strategy specific to your situation.

OUTFITTING

All Oregon Adventure Rentals (Adventure Equipment Holdings, LLC) rental units are marketed as “road trip ready.” You agree to provide eating, cooking, camping and sleeping supplies for your renters. Oregon Adventure Rentals (Adventure Equipment Holdings, LLC) will provide you a sample list of recommended items that should be included in your rental unit per your request. You do not need to provide brand new, top of the line gear. You should, however, aim to delight your renters with supplies that go well beyond the basics.

SAFETY FEATURES

Your rental unit must include the following safety features: seat belts for all passengers, fire extinguisher, first aid kit, spare tire, tracking system and smoke alarm and carbon monoxide alarm if a full camper/trailer.

DRIVERS MANUAL

Your rental unit must include a detailed driver’s manual that includes Oregon Adventure Rentals (Adventure Equipment Holdings, LLC)’s policies, what to do in case of a breakdown, etc. Oregon Adventure Rentals (Adventure Equipment Holdings, LLC) provides a template manual upon request that you can modify as necessary.

BASE RENTAL RATES

In order to maximize your bookings, your base rental rate is set by Oregon Adventure Rentals (Adventure Equipment Holdings, LLC) and typically aligns with market rates. Oregon Adventure Rentals (Adventure Equipment Holdings, LLC) modifies rates throughout the season as utilization rates fluctuate. Base rental rates vary by vehicle type. Check listings for a better sense of current market rates.

FEES

Individual Rental Unit Owners: Listing on Oregon Adventure Rentals (Adventure Equipment Holdings, LLC) is FREE. Rental unit owners retain 100% of the fees collected for any add-ons, cleaning fees, and mileage charges, and up to 85% of the base rental rate, depending on how many rental units you list. Oregon Adventure Rentals (Adventure Equipment Holdings, LLC) retains the service fee, any “premium feature” fees. A 5% credit card and administrative service fee is assessed against all bookings.

Fleet Managers: New in 2021 we are accepting listings from fleet managers – those that rent more than one rental unit. Discounted pricing applies for three+ vehicles. Please be in touch to discuss listing multiple vehicles on the Oregon Adventure Rentals (Adventure Equipment Holdings, LLC) websites, as there are several paths to listing.

HOW DO OUR FEES COMPARE TO OTHER PLATFORMS

Oregon Adventure Rentals (Adventure Equipment Holdings, LLC)’s rates are competitive, though not really, because we offer way more benefits and services and typically only collect fees on the base rental rate (while other services collect fees on ALL charges).

CUSTOMER INTERACTION

Oregon Adventure Rentals (Adventure Equipment Holdings, LLC) serves as the primary point of contact with renters during the reservation and booking process. You are the primary point of contact for the renter throughout the rental period. You agree to meet and greet the renter in order to provide a thorough orientation to your rental. In the event of a roadside issue, you are the primary point of contact for the renter and will work with the renter until the issue has been resolved.

CONTRACTS AND PAPERWORK

Renters will sign a standard rental contract, provided by Oregon Adventure Rentals (Adventure Equipment Holdings, LLC). You will execute a check-in and check-out procedure with your renters that includes a pre- and post-rental inspection. Upon return of the vehicle you are responsible for properly documenting mileage and minor damage, if any. You should keep records of all duly executed contracts.

PAYMENT TO YOU

Payments are processed following the return of the vehicle to you. Prior to payment, you must submit to Oregon Adventure Rentals (Adventure Equipment Holdings, LLC) mileage totals and post-rental inspection results. Note that Oregon Adventure Rentals (Adventure Equipment Holdings, LLC) may not be able to reimburse you for minor damage if paperwork isn’t executed properly (see above).

FUEL AND PROPANE

You are responsible for making sure the fuel and propane tanks (if relevant) are full when the renter picks up the rental.

OIL AND COOLANT

Your vehicle must have extra oil and coolant so that renters can top off levels as needed during their rental.

CLEANLINESS

You are responsible for ensuring your rental is clean, neat and tidy for renters. Your rental should also be disinfected between rentals. Pay special attention to high touch areas like the steering wheel, door handles, gear shifter, and other hard surfaces. Refer to CDC guidelines regarding cleaning and disinfecting.

CANCELLATIONS

All owners agree to abide by Oregon Adventure Rentals (Adventure Equipment Holdings, LLC)’s cancellation policy for renters, which is as follows:

Free cancellation for 48 hours after booking, as long as you cancel more than 14 days before departure.

If cancelled more than 10 days prior to departure:

Insurance is refunded

75% of the booking total is refunded

The service fee is not refunded

If cancelled more than 7 days prior to departure:

Insurance is refunded

50% of the booking total is refunded

The service fee is not refunded

If cancelled more than 5 days prior to departure:

Insurance is refunded

25% of the booking total is refunded

The service fee is not refunded

If cancelled 5 days or less from departure:

No insurance refund

No booking refund

The service fee is not refunded

Oregon Adventure Rentals (Adventure Equipment Holdings, LLC) reserves the right to cancel a reservation at our discretion if we feel that the rental would not be safe (e.g. a renter shows up intoxicated or extreme weather is expected, etc.). If Oregon Adventure Rentals (Adventure Equipment Holdings, LLC) cancels the reservation, renters will be reimbursed as per our policies and owners will receive no payment.

As an owner, you have the right to cancel any reservations made on your behalf. We ask that if you need to cancel a reservation, you let Oregon Adventure Rentals (Adventure Equipment Holdings, LLC) know at your earliest possible convenience. Note that consistent cancellations on your part may result in removal from the site (see Removal from Oregon Adventure Rentals (Adventure Equipment Holdings, LLC)’s site below).

MECHANICAL FAILURES

You agree to promptly address and pay for any mechanical failures that take place during the rental. If it is determined that the mechanical failure is the result of negligence on the part of the renter, the renter will be charged for all costs associated with the repair. If it is deemed a ‘no fault’ mechanical failure, something the renter is not responsible for, you will pay for any repair costs and reimburse the daily rental fee for every day the vehicle is unusable by the renter.

MINOR DAMAGE

The renter is responsible for any minor damage that might occur during the rental (dings to the windshield, minor dents and scratches, flat tires, etc.).

MAJOR DAMAGE OR COLLISIONS

The renter is responsible for covering the costs of any major damage due to accidents, collisions, theft, or other non-mechanical issues that might arise. Major damage is typically covered the WheelBase/Outdoorsy’s insurance policy; all renters are required to purchase an insurance policy that includes comp and collision as well as liability coverage. WheelBase/Outoorsy’s policy has a $1,500 deductible that is the rental owner’s/company’s responsibility.

REMOVAL FROM Oregon Adventure Rentals (Adventure equipment holdings, llc) and (Adventure equpment holdings, llc) SITEs

Oregon Adventure Rentals (Adventure Equipment Holdings, LLC) reserves the right to remove your listing from our site if we believe you have failed to abide by any of these terms. Other factors that may influence a decision to remove your listing include but are not limited to: repeat negative reviews, failure to keep us informed about your rental’s availability, repeat or consistent cancellations on your part due to scheduling conflicts and/or mechanical failures, changes in Oregon Adventure Rentals (Adventure Equipment Holdings, LLC)’s supply needs, and any other factor at Oregon Adventure Rentals (Adventure Equipment Holdings, LLC)’s discretion.

MEMBER OF THE OWNER COMMUNITY

You are joining other owners who are making their rental units available on Oregon Adventure Rentals (Adventure Equipment Holdings, LLC). We’ll have much to learn from each other and we’ll be able to help each other out occasionally. You will also be expected to participate in occasional owner meetings such as an initial orientation and/or semi-regular feedback meetings as deemed appropriate by Oregon Adventure Rentals (Adventure Equipment Holdings, LLC). Oregon Adventure Rentals (Adventure Equipment Holdings, LLC) will rely on you to share your experiences, tag us on social media, share your content with us, and help us improve the service over time.
